Payment Report
The Payment Report provides a centralized view of all payment transactions — received payments, refunds, and their processing status. Finance teams use it to track incoming and outgoing payments, monitor statuses, reconcile against bank deposits, access detailed payment metadata, and export data for reporting.
Payment statuses
- Initiated — created but not completed.
- Paid — successfully completed.
- Failed — attempt unsuccessful (e.g., insufficient funds, gateway errors).
- Refunded — refunded partially or in full.
- Processing — under processing (e.g., bank settlement delay).
The payment table
Columns: Created Date, Reference / Payment ID, Amount, Method (card, bank, etc.), Customer, and Status.
Viewing payment details
Navigate to Payments → Payment Report and click any entry. A side panel opens with the payment summary (amount, status, date), customer information (name, ID), related info (invoice reference, payment method, currency), and metadata (system-generated transaction details, gateway reference, additional identifiers).
Refund handling
Refunded payments are marked Refunded with refund amount, date, and status. Refunds are initiated from the original invoice or payment, not from the report itself.
Filtering, search, and export
Filter by status, date range, customer, or payment method. Search by Payment ID, customer name, or reference number. Export as CSV/Excel — exports include payment details, status, customer data, and transaction references.
Deposit reconciliation
Payments appear in the Deposit Report after settlement (typically a few working days), where they can be matched with bank deposits for accurate reconciliation.

Can I create payments from this module? No — it's for viewing and tracking only.
What is metadata? System-generated transaction identifiers and gateway references for tracking and troubleshooting.
Does deleting a payment affect reports? Payments generally aren't deletable once processed, to maintain audit integrity.
